Every idea deserves a fair look

With how often new AI tools and platforms come up in conversation, we wanted a consistent way for those ideas to be captured, considered properly, and not lost in a Teams message, email, or F2F conversation.

The right checks, every time

Before anything new gets implemented, it should be assessed against our strategic objectives and have costs properly reviewed. This form is how that happens, consistently, for everyone.

1Have an idea? Speak to your Team Leader

Got a suggestion for a new tool or a better way of doing something? Bring it to your Team Leader and they'll submit it on your behalf.

2It's submitted through the form

The form sits on SharePoint and takes a few minutes to complete, including project details, the case for change, expected ROI, and rough cost if known.

3A reference number is generated instantly

As soon as it's submitted, a unique reference is created automatically, so every request can be tracked from start to finish.

4Operations reviews it

We evaluate suitability, strategic fit, and cost, and bring qualifying requests to the next Project Board update for discussion.

5You hear how it's progressing

Approved items are added to the roadmap, with regular updates to the wider team so everyone can see what's moving and when.

⚠ What's needed from you

  • Bring ideas to your Team Leader, not directly to Operations — they'll take it from there.
  • Team Leaders: if a team member raises something worth pursuing, submit it through the form on their behalf.
  • Be ready to give a bit of context — the more detail on the "why" behind a request, the easier it is for us to assess it properly.
